APPLICATION PROCESSING, RECRUITMENT, AND COMMUNICATIONS GRADUATE ASSISTANT (GA)
POSITION DESCRIPTION FOR:
F2025-Sp2026
Start/End Date: August 1, 2025 – May 8, 2026
Hours: 20/week on campus
Salary: $10,560/academic year, plus tuition remission (up to 9 credits/semester)
General Qualifications, Knowledge, Skills, and Abilities
- Admitted to a graduate degree program.
- Effective oral and written communication skills.
- Ability to work evenings, weekends, and/or travel overnight (occasional).
- Ability to work over summer and breaks.
- Knowledge and use of social media for communication and marketing.
- Demonstrated cultural competence.
- Ability to speak positively about their graduate experience and the benefits of pursuing graduate education at SCSU.
- Ability to work equally as well as part of a team and independently.
- Demonstrated competence in technical and interpersonal skills.
- Previous experience in student services, program development, and project management desired.
- Detail oriented with a strong customer service orientation.
- High-level organizational skills, able to manage complex processes effectively.
- Effective time management.
- Ability to think critically, resolve problems, and take initiative.
- Previous experience in admission database work and CRM (Constituent Relationship Management) software desired.
- Demonstrated experience and comfort level with using Excel programs and learning new computer systems.
- Knowledge of standardized exams, including GRE/GMAT and English Proficiency to assist prospective students.
- Knowledge of institutional and program-specific admission requirements.
- Knowledge of social media tools and content production for Facebook, Instagram, LinkedIn, TikTok, YouTube, etc.
- Knowledge of content production tools such as Constant Contact, Adobe Express, Canva, Mediaspace and web design or editing solutions.
- Develop expertise with the Graduate Admissions and Graduate Studies website to answer pre- and post-admission questions from internal and external stakeholders.
- Professional communication with graduate programs, Center for International Studies, and IEC.
- Understand and be able to clearly communicate the following processes: StarID activation, course registration, email set-up, Office 365 access, tuition assessment and billing, use of online Forms from the SGS website.
- Understand the role and importance of effective policy and process in graduate student admission, orientation, and graduation.
Application Processing & Recruitment Communications Position Focus Areas
Communications
- Create and distribute mass communications via Enrollment Marketing Platform (EMP) communications platform, including application, registration, orientation/onboarding, event registration, etc.
- Publish recruitment events and information sessions to Huskies Connect for inclusion on website.
- Weekly post to Facebook and Instagram. Active in Graduate Student Facebook group.
- Assist prospective graduate students, applicants and new admits through:
- Respond to e-mail, telephone, and mail inquiries.
- Host prospects, provide campus tours, host application advising sessions, organize meetings with faculty advisors.
- Represent the SGS at on- and off-campus events.
- Provide graduate school presentations to a variety of audiences.
- Active social media presence for recruitment and informational events, respond to inquiries through social media.
- Create web content and update the FAQ/Knowledge Base on the SGS website and Ask St. Cloud State platform.
- Produce video assets for marketing, recruitment, orientation, and retention initiatives.
- Provide support for Graduate Admissions and student leadership for the graduate student recruitment process.
- Respond to current student inquiries using template emails to questions about forms/graduate studies processes.
Processing
- Process application materials from prospective students in CAS/WebAdmit, EMP, PowerBI, and ISRS database.
- Transmittal Processing: Track completed application files, send to departments and track return.
- Develop and run applicant queries and reporting in CAS/WebAdmit, EMP, PowerBI, and applicable databases.
- Ensure new inquiries are added to the CRM database and any ad hoc follow-up communications are sent.
- Send ad hoc application material communications to applicants and program directors, including admission offers and orientation/onboarding information.
- Support student success programming and outreach initiatives.
- Support retention and completion initiatives of the School of Graduate Studies.
- Engage in assisting other SGS staff and GA’s as necessary and directed by supervisor.
